Passport and ID scanning API for hotel check-in

Spend less time copying document details and more time welcoming guests.

IdScanly extracts structured information from supported passports and identity cards so your hotel software can prepare guest registration records. Add document scanning to a pre-arrival form or a reception workflow, then let your team review the details before completing check-in.

Turn guest documents into check-in data

During a busy arrival period, even a straightforward booking can involve several rounds of data entry. Reception checks a reservation, reads a passport, enters guest details and prepares the registration record. A family or group booking repeats that work for each guest.

A hotel passport scanner API helps with the transcription step. Your application sends a document image to IdScanly and receives structured fields that can populate a draft guest record. Staff can check a proposed value instead of typing every name, number and date from the beginning.

The same approach works for hospitality software providers building registration features across several properties. Your application controls the guest interface, reservation matching and property-management system connection; IdScanly provides the document-reading component.

Support registration before arrival and at reception

Pre-arrival guest registration

Include a document capture step in your own online check-in flow when appropriate for the property and location. Link the scan session to the relevant reservation and guest record so reception can review the information on arrival.

This is particularly useful when the person who booked is not the only person staying. Each guest can have a separate record without reception reusing the booking holder’s details for everyone.

Reception-assisted check-in

Staff can capture a supported passport or ID through your application and review the returned fields alongside the booking. This gives walk-in guests and guests who did not complete pre-arrival registration the same structured registration process.

Group arrivals

Keep each guest’s document session separate and connect the resulting guest records to the shared booking. This helps your software maintain a clear relationship between the reservation, the individual traveller and their document details.

Guest information your software can use

Depending on the document and supported fields, IdScanly can return:

  • Guest name and available name components.
  • Date of birth and nationality.
  • Document type and document number.
  • Issuing country and available issuing details.
  • Issue and expiry dates where printed and supported.
  • Available machine-readable zone, or MRZ, information.

Your integration decides which fields belong in the guest registration record. A field available from the document does not automatically need to be stored in the PMS.

How a hotel check-in integration works

  1. Connect the capture to a guest. Your application creates a scan session and associates it with the reservation and individual traveller.
  2. Upload the required document images. Submit the passport data page or the necessary sides of the ID card. Keep retakes of the same document in that session.
  3. Prepare the registration draft. Retrieve structured results and map the relevant fields to your guest-registration form.
  4. Review and confirm. Reception or the guest checks the proposed details. Your software sends the approved fields to the PMS through the integration you implement.

Keep booking information visible during review. A different surname, name order or booking-holder name is a reason to compare the records, rather than silently replace the original reservation.

Help guests correct an unclear document photo

Glare on a passport page, a cropped ID card or a blurred image can interrupt online check-in. IdScanly returns supported capture feedback that your interface can use to explain the next step.

Ask the guest to improve the lighting, include the full document or retake an unclear image when the scan feedback calls for it. Additional views and retakes of the same document can contribute to the session’s merged result.

Your application can also use progressively available fields while processing continues, while keeping the final confirmation step clear.

Fit document OCR into your hospitality software

Use the REST API from your backend and keep API credentials server-side. Your software manages the guest-facing capture screen, staff permissions, reservation association and PMS field mapping.

IdScanly supports JPEG, PNG, WebP, HEIC and HEIF images. Before production, test the passports and ID-card versions common among your guests, including names with accents and documents with information on both sides.

Keep guest registration focused on the data you need

IdScanly processes document images to return OCR results rather than operate a document archive. Temporary files and records can be involved in processing, result retrieval and necessary troubleshooting. Review the current processing terms and your property’s own retention requirements before going live.

Local guest reporting, government-system connections and registration rules remain part of your hotel’s workflow. The OCR API supplies document data; your integration handles the required reporting and approvals.

Hotel document scanning FAQ

Can IdScanly connect to our property-management system?

Your backend can map IdScanly’s structured results to your PMS interface. The API provides document data; the PMS connection, field mapping and update rules need to be implemented for your chosen system.

Can guests scan their passports before arrival?

Yes. You can add document capture to your own pre-arrival registration flow and link the results to the reservation. The property decides when capture is appropriate and how the details are confirmed.

Can it read both sides of an identity card?

Yes. Upload the relevant sides of the same document into one scan session. IdScanly combines the available information into a merged result.

What happens if a name differs from the reservation?

Show both values for review. Reception can resolve differences involving name order, spelling, the booking holder or the person actually staying.

Does the API submit guest details to local authorities?

No. Any required reporting connection is implemented separately by your property or software provider using the appropriate approved data.

Which guest documents should we test?

Start with the countries, passport versions and ID cards most common among your guests. Confirm the fields your registration process needs, rather than assuming every document contains the same information.
