DOCUMENT OCR FOR YOUR WORKFLOW

Support prospective-tenant administration with structured identity fields. IdScanly helps prepare the identity portion of a rental file without turning document extraction into tenant screening.

## Identity administration at the right rental stage

Property teams often copy the same name and document details between enquiries, draft leases and administration tools. A controlled OCR step can support data entry while limiting the information collected at each stage.

## Separate enquiries from lease evidence

Use different access and retention rules for unsuccessful enquiries and signed tenancies. Do not treat technical access to a document image as permission to retain it.

Avoid requesting a full document copy simply because it is technically possible. Housing rules and data-minimisation requirements depend on location.

## Application and co-tenant examples

### From enquiry to contract preparation

An initial enquiry may need only contact information. Add the document step only when justified for contract preparation; transfer the necessary identity fields into a draft lease.

### A lease with several tenants

Give each co-tenant a separate identity record and signature role. Compare their document-derived names with the draft lease without merging household members into one applicant.

## Select lease fields, not screening signals

Name, document type, number and validity dates when needed for the lawful stage of the rental process.

## A draft lease with named tenants

1. ### Define the lawful stage

Explain why identity data is required at this particular stage of the application.
2. ### Prepare tenant identities

Populate a draft applicant or lease record with only the necessary supported fields.
3. ### Review before signature

Review the document-to-record match and remove unneeded fields before finalising the file.

## Property-rental identity questions

Does OCR assess a tenant’s credit or suitability?

No. It extracts printed information. Income checks, references, credit assessment, eligibility and lawful tenant-selection decisions are outside the OCR service.

Can extraction rank prospective tenants?

No. OCR provides document data, not a suitability, affordability or credit score.

Should every enquirer upload an ID?

Not automatically. Decide whether identity evidence is necessary at that stage and explain the purpose.

Can OCR supply missing residence details?

Only fields present on a supported document can be returned. Request other necessary information through a separate justified process.
