DOCUMENT OCR FOR YOUR WORKFLOW

Bring guest document data into your check-in workflow without repeatedly typing it at reception. IdScanly extracts structured fields so staff can focus on reviewing the booking and welcoming the guest.

## Arrival peaks without a second guest record

A busy arrival window can turn names, document numbers and dates into repeated manual work across reservation and property-management systems. An OCR integration can prefill the relevant fields while leaving the final check with reception.

## From reservation to confirmed check-in

1. ### Explain the guest capture

Ask for the document in a clear guest check-in step and explain why it is needed.
2. ### Prepare the PMS draft

Attach extracted fields to a draft guest record rather than silently replacing booking information.
3. ### Resolve booking differences

Let reception confirm names, travel-document details and any mismatch before completing check-in.

## Two ways to prepare an arrival

### Pre-arrival registration

A guest completes the document step before travelling. Your integration links the extraction to the reservation reference; reception reviews differences in surname order before confirming the guest record.

### Walk-in at the reception desk

Staff capture a supported passport at arrival. The guest checks the extracted details; the hotel sends only approved fields into its PMS through an integration it builds.

## Guest fields for the PMS handoff

Guest name, document number, nationality, date of birth and expiry, where present and supported.

## Guest data is not a document archive

Separate guest-registration obligations from marketing and booking notes. Decide which staff may view document fields and how long the hotel needs them.

Do not assume that a hotel may retain every document field or a full copy. Define the required data for each jurisdiction and guest process.

## Hotel reception questions

Does OCR submit guest registrations to authorities?

No. OCR provides data extraction. Any local guest-registration reporting, eligibility rule or connection to a government system is a separate responsibility of your property or integration.

What if the reservation name differs?

Keep both values visible. Reception resolves spelling, booking-holder and travelling-guest differences rather than overwriting the reservation.

Is there a ready-made PMS connector?

No connector is promised here. Your PMS interface and field mapping must be implemented and tested.

Can every accompanying guest be registered together?

Associate each document with its own guest record. Do not reuse the lead guest's identity for the whole reservation.
