Car & mobility rental

Prepare renter and driver details before the vehicle handover.

IdScanly extracts structured data from supported driver licenses and identity documents. Add document OCR to your rental software to prefill customer records, prepare rental agreements and register additional drivers with less repeated typing.

## Bring document details into the rental record

At vehicle collection, staff may need to check the reservation, enter the renter’s identity details, record the driving license and prepare the agreement. Additional drivers introduce another set of documents and another round of data entry.

A driver license OCR API helps convert the information printed on those documents into fields your software can reuse. Staff receive a draft to review while keeping time for the vehicle inspection, rental terms and handover questions.

Use the same extraction component in your own pre-registration flow or at the rental counter. Your application manages the booking, contract and release decision.

## Support the main document steps in a rental

### Prepare details before collection

Allow customers to submit the required document images through your own booking or pre-registration interface. Link the extracted information to the reservation so staff can review the proposed renter and driver details when the customer arrives.

### Complete counter registration

For walk-in customers or documents presented at collection, capture the required images through your rental application and populate the appropriate draft fields. Keep identity-document details and driving-license details separate.

### Add another driver

Create a dedicated driver record linked to the same rental. Process that person’s documents in their own sessions and send their details through the required review. This keeps the main renter, payer and additional drivers distinguishable.

### Prepare agreement fields

Map approved names, document references and other required values into the rental agreement. Your integration controls which document supplies each field and avoids repeated copying between booking, customer and contract screens.

## What can be extracted from a driving license?

On supported documents, available fields may include the holder’s name, date of birth, license number, issuing details and validity dates. Categories, restrictions and endorsements may also be available depending on the issuing country and document version.

For supported US and Canadian licenses, AAMVA PDF417 data can supply structured identity fields. Confirm barcode and field coverage against the actual license versions your customers present.

When a separate passport or identity card is required, process it as its own document and associate the results with the same person in your application. A license number and a passport number should remain distinct identifiers.

## From document capture to a reviewed rental agreement

1. **Identify the person and document.** Associate the scan session with the renter or additional driver and the required document type.
2. **Upload the necessary views.** Capture the front and back where relevant. Keep retakes of that document within the same session.
3. **Populate draft fields.** Map the returned values to the renter profile, driver record or rental agreement.
4. **Review the documents and policy requirements.** Staff confirm the relevant details and driving entitlement using your rental process.
5. **Complete the handover in your software.** Your application records the approval and proceeds with the contract and vehicle release.

Extracted dates and license fields can support your checks. Decisions about age, categories, restrictions, territory and rental eligibility remain in your business rules and review process.

## Make retakes more useful

A license photographed under counter lighting can show glare, and a customer may omit the reverse side when uploading remotely. Supported capture feedback helps your interface ask for a clearer image or the necessary additional view.

IdScanly combines images of the same document within a session, allowing readable information from different views to contribute to the result. Confidence values help your team identify fields that need closer inspection.

## Connect OCR to your rental platform

Your backend calls the IdScanly REST API and sends the approved data to the systems you operate. These may include reservation software, a customer database, a rental agreement tool or a mobility-service onboarding flow.

These connections are implemented by your team; no particular rental-software connector is assumed. Keep API credentials server-side and define how your application separates people, documents and rental bookings.

Before rollout, test a representative mix of licenses and IDs. Check the fields that matter to your operation, especially document numbers, dates and any categories your software needs to display.

## Car rental document OCR FAQ

### Can IdScanly read both an ID document and a driver license?

Yes, for supported documents. Use separate sessions for separate documents and connect the resulting records to the appropriate renter or driver in your application.

### Does OCR establish whether someone is allowed to drive?

No. It reads available license information. Driving entitlement, applicable restrictions and your rental policy need separate checks before vehicle release.

### Are all license categories available?

Field availability depends on the country, document version and image. Test category and restriction extraction on the licenses relevant to your fleet and customer base.

### Can it populate a rental agreement?

Your integration can map extracted and reviewed fields to the agreement template in your rental software. IdScanly supplies the data; your system creates and manages the contract.

### How are additional drivers handled?

Give each driver their own person record and document sessions, linked to the same rental. Each driver follows the required review process.

### Should we keep every returned document field?

Select the fields needed for the rental purpose and define access and retention in your own software. Review the current privacy and processing terms before production use.

## Test your rental documents before integrating

Try the licenses and identity documents your customers actually use. Share your expected countries, contract fields and rental volumes to discuss an integration that fits your operation.
